Privacy Policy

Grace Trail Life Troop TX-0139 ("the troop", "we") runs the website at gracetraillife.org and the Grace Trail Life mobile app. Both are private tools for our own troop families — not a public social network. This page explains what we collect, why, and what you can do about it.

The short version: we collect only what the troop needs to run the program — who is in your family, how to reach you, dues and donations, and health information you choose to provide for campouts. We don't sell anything to anyone, we don't run ads, and we don't share your information outside the troop except with the service providers listed below.

Who this covers

Accounts are for registered troop families and troop leadership. Sign-in is by invitation from troop leadership. Children do not have their own accounts; a parent or guardian holds the account and enters information about their trailman.

What we collect

Account & contact details — name, phone number, and email address, used to sign you in and to reach you about troop activities.
Family information — the members of your family, each trailman's name, birthday, and program level, so the troop can group boys correctly and track sign-up steps.
Health information — if you complete the optional health form for an event or campout, the medical details you enter (allergies, conditions, medications, insurance, emergency contacts). This is used only to care for your trailman during troop activities and is visible to troop leadership.
Payments — dues, event fees, and donations are processed by Stripe. We receive a record of the amount, date, and status. We never see or store your full card number.
Messages — messages you send to leaders or troop groups inside the app.
Device tokens — if you turn on push notifications, a token that lets us send notifications to that device. You can turn this off at any time.
Basic usage data — standard web analytics (pages viewed, general device type) via Google Analytics, and error information that helps us fix problems.

How we use it

To run the troop: rosters, sign-up checklists, events, RSVPs, dues, and announcements.
To contact you by push notification, email, or text message about troop activities. You choose which of these you receive in Notification settings.
To keep the troop's financial records for donations and dues.
To keep accounts secure and prevent misuse.

We do not sell or rent your information, use it for advertising, or share it with other organizations for their own marketing.

Who we share it with

We use a small number of service providers to operate the site and app. They process information on our behalf:

Google Firebase — hosting, sign-in, database, and push notification delivery.
Stripe — payment processing for dues, event fees, and donations.
Twilio — text messages.
Brevo — email delivery.
Google Analytics — anonymous usage statistics.

Troop leadership can see the information needed to lead the troop, including rosters, checklist progress, payment status, and any health forms submitted. We may also share information if required by law or to protect someone's safety.

Trail Life USA membership and national registration are handled separately on Trail Life Connect, which has its own privacy policy. This policy does not cover that site.

Children's privacy

Our app is used by parents and guardians, not by children directly. Information about a trailman is entered by his parent or guardian, who controls it. We collect only what the troop needs to run the program safely, and we don't build advertising profiles of anyone.

How long we keep it

We keep your information while your family is active in the troop. Financial records (dues, donations) are retained for the troop's accounting even after an account is closed. Health form information is retained for the program year and removed when it is no longer needed for troop activities.

Your choices

Update your information — edit your family details any time on the Family page.
Choose how we contact you — turn text, email, and push notifications on or off under Notification settings. You can also reply STOP to any troop text.
Delete your account — go to Sign-in & Security → Delete my account in the app or on the website. This permanently removes your sign-in and personal profile. Roster entries stay with the troop but are disconnected from your account, and financial records are kept for the books as described above.
Ask us anything — email info@gracetraillife.org to request a copy of your information or ask for it to be corrected or removed.

Security

Information is stored in Google Firebase with access rules that limit each account to its own family's data, plus troop leadership access where the program requires it. Traffic is encrypted in transit. No system is perfect, but we take reasonable measures to protect the information families entrust to us.

Changes to this policy

If we make a meaningful change, we'll update the date at the top of this page and, when the change is significant, tell families through a troop announcement.
